Why WhatsApp Reminders Cut Restaurant No-Shows Compared to Email

An empty reserved table is more than an awkward gap in the dining room. Your team may have held that space while turning away other guests, only to discover that the booking is not coming.
Not every no-show is deliberate. Plans change, people run late and reminders get missed. Making it easy to see a reminder and respond can help you learn about those changes before service is affected.
WhatsApp gives restaurants a direct way to keep that conversation going. It can help reduce no-shows, but it does not guarantee attendance or a particular reduction.
Why an email reminder can be missed
Email is useful for keeping a record of a reservation, and standard booking emails remain included in Table Harmony at no extra cost. But an email can end up in spam or promotions, or sit unread while a guest is travelling to dinner.
If plans change, finding the original email and writing back creates another task. A guest who puts it off may never tell the restaurant, leaving staff waiting for a table that will not arrive.
Put the reminder where guests can notice it
WhatsApp confirmations and reminders arrive directly on the guest’s phone. A notification can be noticed within minutes rather than waiting for an inbox check. Delivery and reading times still depend on the guest, their connection and notification settings; there is no guaranteed reading time.
The value is not simply sending another alert. It is giving the guest a convenient way to act while the booking is still on their mind.
One tap to confirm or cancel
Table Harmony’s WhatsApp communications let guests confirm or cancel with one tap. If a guest cannot attend, an earlier cancellation frees up the table so the restaurant has a chance to offer it to someone else.
That opportunity is different from a promise to fill every cancelled table. How much notice you receive and demand for that service still matter.
Your host stand has a direct WhatsApp line
When a guest replies to their booking confirmation or reminder, the message appears directly on the Table Harmony booking sheet in service view. Your team can reply straight back without switching to a separate phone.
- “Running 15 mins late.” Staff can acknowledge the delay and keep the conversation with the booking.
- “Can we have a high chair?” The team can answer before the guest arrives.
- “Can’t make it.” Staff hear about changed plans instead of waiting without an explanation.
A message is a conversation, not an instruction that automatically changes every booking detail. Your team still manages the reservation and decides how to respond.
Keep communication connected to service
A reply is most useful when staff can see which reservation it belongs to. Keeping the conversation on the booking sheet gives the team context during a busy service and makes it easier to answer promptly.

An optional add-on, with clear costs
WhatsApp confirmations, reminders and live two-way messaging are an optional add-on for Harmony and Harmony Plus: €15/month + IVA including 300 messages per month, then €0.07 + IVA per additional message. Standard email communications remain included at no extra cost.
Harmony remains €20/month + IVA and Harmony Plus €30/month + IVA. WhatsApp is a separate choice, not a requirement for taking online bookings.
Compare the plans and WhatsApp add-on pricing, or start with email and add WhatsApp when it suits your restaurant.
Fewer silent changes, better-informed staff
The practical aim is simple: make it easier for guests to remember their booking, confirm their plans and tell you when something changes. Earlier information gives your restaurant more time to react and a better chance to keep tables filled.
